General Policies
Reservation Deposit:
To secure your reservation, a deposit of 50% is required for a stay of 2 or more nights. A 100% deposit is required for a single-night stay. The balance is due at check-in and may be paid by cash or credit/debit card.
Group Bookings: Bookings of two or more rooms for the same nights require a 50% non-refundable deposit at the time of booking, with the balance due at check-in, which may be paid by cash or credit/debit card.
Incidentals:
- Rates are subject to change without notice.
- In the event that we have to cancel a reservation, a full refund will be made.
- We reserve the right to ask disruptive or destructive guests to leave without refund.
Cancellation Policy:
Because we are a small, boutique inn with a limited number of rooms, guests are responsible for payment of all nights reserved. We make many preparations, including purchases and scheduling our staff, based on reservations. We recognize that circumstances arise, sometimes out of a guest’s control, requiring the cancellation of a reservation. However, as a small business, cancellations have a significant impact on us and the services we are able to provide to our guests. Therefore, we cannot make exceptions to the cancellation policies and must ask you to take responsibility for your reservation.
Please note: Walnut Waters Bed & Breakfast does not take responsibility for changes to your reservation due to inclement weather, unforeseen changes to travel plans, personal sickness or injury, or family emergencies. Additionally, no refunds are provided for late arrivals, early departures, no-shows, or weather-related cancellations.
Your reservation is a binding agreement between you and Walnut Waters Bed & Breakfast. When you make a reservation, we agree to provide that room(s) to you on the date(s) you reserved. As a result, we decline all subsequent requests for the room reserved and the selected date. We do not overbook our rooms. In turn, you agree to abide by all inn policies and pay for the entire reservation. The terms of cancellation for your reservation are shared with you before you confirm your reservation with a credit card (see below) and the policies are restated via a confirmation email provided by you.
All reservations will be accepted and confirmed online. Guests are responsible for checking their email for confirmation within 24 hours of making a reservation and if no confirmation is received, guests are responsible for contacting Walnut Waters Bed & Breakfast. If there is a conflict or question about the reservation confirmation, guests are responsible for contacting us within 24 hours or the reservation confirmation will remain as it stands.
Cancellations or changes must be made by telephone (not text) only.
If your plans change after your reservation is confirmed, change/cancellation notice is required 14 days in advance of your arrival date. You will be refunded your deposit, minus a $50 administrative fee.
If you change/cancel your reservation 14 days up to 72 hours prior to arrival date, you are responsible for 50% of the cost of your entire reservation. If you change/cancel 72 hours or less prior to your reservation you are responsible for the entire cost of the reservation.
The cancellation fees also apply to changes in your arrival/departure date, which result in a shorter stay. No refunds are provided for late arrivals or early departures.
Reservations scheduled for any holiday require a 14-day advance notice of change/cancellation. In the unlikely event that you must cancel with less than 14 days’ notice, shorten your stay, or check out early, please understand that we must ask you to take responsibility for your entire reservation. If we can rebook your room(s), a refund less a $50 cancellation fee will be made in the form of gift certificates redeemable within one year.
Cancellations can be made online or by phone but changes to your reservation can be made by calling 816-572-1698.
Check-in / Check-out Policies:
Check-in time is between 4:00-6:30 pm. If arriving outside of check-in times, please call to make prior arrangements. Early check-in is billed at $25/hour or late check-out is billed at $50/hour and must be prearranged and prepaid. We appreciate as much advance notice as possible. Thank you.
Check-out time is 11:00am. Check-out time must be strictly adhered to unless prior arrangements have been made. If a room is booked by another guest the same day as the check out, we regret that we will not offer a late check-out in that case. If you need to extend your stay, charges can be applied to your credit card.
Gift Certificates
Gift certificates must be presented at check-in along with a valid driver's license. Gift certificates are transferable. Any remaining amount on gift certificates can be used at a later day up to the expiration date. Gift certificates cannot be redeemed for cash.
Discounts
Military Rates: 10% discount with valid active duty or reserve military ID.
Clergy Rates: 10% discount for active clergy with verification.
Pets
We regret that we cannot accommodate pets. Please call for some special allowances (additional charges may apply).
Children
Special situations allow for older children, please call to make arrangements.
Pond Safety Policy
At Walnut Waters Bed and Breakfast, the safety and well-being of our guests are paramount. We encourage enjoyment of our facilities responsibly, including the use of the paddleboat and fishing in our small pond. To ensure everyone's safety, we kindly request adherence to the following safety guidelines:
- Life Jackets: Life jackets are recommended and are available in the gazebo closet with the fishing gear.
- Respect Wildlife: Please respect the natural habitat and wildlife present in and around the pond. Avoid disturbing or feeding wildlife.
- Boating Etiquette: Be mindful of other guests enjoying the pond. Keep noise levels to a minimum
- Weather Awareness: Avoid boating during storms, high winds, or other hazardous conditions.
- No Swimming: For safety reasons, swimming in the pond is strictly prohibited.
- Fishing Regulations: Practice catch and release to preserve the ecosystem of the pond.
Smoking/Open Flames/Incense
We are a smoke-free establishment. Absolutely no smoking is allowed inside any buildings on the estate; however, designated outdoor smoking areas are provided. We ask that our guests be mindful and respectful of other guests when smoking outdoors. All smoking waste must be deposited in designated smoking receptacles.
Violation of the smoking policy will result in a $200 cleaning fee charged to your credit card.
